Admin Assistant - Clerks

The Township of St. Clair is currently seeking an energetic and motivated individual to fill an Administrative Assistant position within the Clerk’s Department.
Working directly under the supervision of the Director of Administration/Clerk/Deputy C.A.O., this position is responsible for providing clerical support to the Municipal Clerk and Planning Department including front-line customer service in person and over the phone responding to public inquiries and information requests as well as acting as an departmental information resource for members of Council, members of the public and other members of staff.

This position assists the Clerk in the preparation of agendas for Council meetings and Committees of Council; provides clerical support to the Clerk and Deputy Clerk for minutes, by-laws, correspondence and reports; acts as Commissioner of Oaths; acts as Deputy Registrar for Vital Statistics Act information; issues marriage licenses, lottery licenses, burial permits, dog tags and hunting licenses, including tracking and reporting information as required; processes Ontario Wildlife Damage Compensation Applications including making submissions to OMAFRA; intakes applications and arranges for pickup of permits, forms and applications for building permits; receives and processes payments and invoices.

Education and Qualifications:
Qualifications include a minimum one-year college diploma in Office Administration and one-year related experience in an office environment with preference given to municipal experience. Demonstrated experience to include administrative skills including proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and database software; excellent oral and written communication skills; superior interpersonal and front-line customer service skills; understanding of municipal government processes, the Municipal Act, Municipal Elections Act and Ontario Planning Act considered an asset.
Compensation will be in accordance with OPSEU Local 123 Collective Agreement. Please note that only those candidates selected for interview will be contacted.
